Top tips for hosting the perfect event from start to finish

The perfect outdoor event is one that is planned well in advance and everything goes according to plan. It's not easy to plan for an outdoor event, though, so here are some top tips for hosting the perfect outdoor event. 

The way you fill your venue is very important you want to welcome guests with items such as Flags or A-boards as well as have display backdrops for photo opportunities.

Here are some ideas of how to use print at your event

  • Is it invitation only? Send out personalised invites to your clients or customers so they know where and when to be. You need people turning up!
  • If you’ve got catering sorted, it might be a good idea to print out some Menus so that your guests know what they’re in for. They could be printed on individual sheets or attractively displayed as Posters or Display Boards in the catering area.
  • If you want to promote certain important areas (toilets, cash machines, speedy charging points), use a display board.
  • It's a good idea to give people who attend your event directions so they don't get lost. If you have a big venue, you might want to create a map at the entrance for people to see what's happening and where they need to go.
  • What about a Roller Banners or PVC banners to promote information at your event such as a special offer or competition. These can really help catch the attention of visitors.
  • Don't forget to create a talking point. People love posing for selfies add a branded selfie frame, they may just want to share event they attended on their social media

On the day of your event

The day has arrived. But there are still things to do for the rest of your event. Here are some ideas you can capitalize on the day:

  • Leaflets and flyers are a ubiquitous print item which can be handed out at events to promote your products, contests or future events. They're also great for businesses that have multiple events planned.
  • Business cards are often underestimated, but they can be great for marketing purposes. Not only do they give your company some more exposure, but these cards also make people remember you once the event has been and gone.
  • If you’re doing anything interactive, such as a charity donation initiative, perhaps use Table Talkers on tables or bar tops to promote QR codes that link to your website.
  • Stickers are the best! They’re so great for kids, adults, or even just as a little something to collect and keep. They work as name badges and more, but better yet they leave a lasting memory of your day.

After your outdoor event

Congrats on the success of your outdoor event, it sounds like you had a great turnout! In order to keep this momentum going, get your business cards and brochures printed and distribute them to people at the event. This will give them more information about what you do so they'll be interested when you come back again.

  • Let your attendees know you appreciate them following the event by sending them thank-you cards. This will allow them to be reminded of their time at the conference, and you can even include a special offer in case they missed getting something at the registration desk.
  • Have you met anyone influential? Make sure to follow up any potential partnerships with a bespoke Brochure or Presentation Folder. It's a great way to stay in front of them and nurture them into being a sponsor or lead!
  • Plan ahead for your next event. Look back at what worked well? What could be bigger and better? Analyse what you could of done differently e.g not enough signage
